Imports and exports
Workflow diagram. The text on this page has the exact steps and permissions.
Bring your existing work in
You can import clients, projects, tasks, and time from a CSV file, bring in an Obsidian vault, and export your notes. Every import shows a preview first, so you can see exactly what will be created before anything changes. Imports live in Settings → Integrations.
Import from CSV
Works with exports from Trello, Notion, or any spreadsheet. Files can have up to 5,000 rows.
-
1
Open Settings → Integrations and find the import panel.
-
2
Choose Trello CSV, Notion CSV, or Generic CSV, then upload your file.
-
3
Match your columns to Flopinio fields: client company, email, and contact name; project; task name, status, and due date; and time start, end, or duration in hours.
-
4
Check the preview. It lists the records it will create, likely duplicates, and any time that looks unbilled.
-
5
Apply the import.
Example
Moving a Trello board over
Export the Northstar launch board from Trello as CSV and choose Trello CSV. Map the card name to the task name, the list to task status, and a "Client" column to the client company. The preview shows 1 client, 1 project, and 38 tasks to create, and flags "Northstar Health Labs" as a likely duplicate of your existing client. Make sure the client name in the file matches your existing client exactly, re-upload, and check the preview again before you apply.
Obsidian notes
Upload an Obsidian vault as a zip. The preview lists the notes and links it found. Apply to import them. To go the other way, use Export notes to download your workspace notes as an Obsidian-compatible zip.
Importing time into an invoice
This is a different import. When you build an invoice, Flopinio previews completed tracked time for that client and billing period. Time that's already on another invoice is left out, and so are work logs that still need reconciling. Both are listed separately so you can see why. See Invoices.
Note
Who can import
CSV imports, Obsidian imports, and the notes export are owner-only. Owners must have MFA set up before the import panel is available. Anyone who can manage invoices can use the invoice time import.
FAQ
Will a CSV import create duplicate clients?
The preview flags likely duplicates before you apply, so you can fix the file or the column mapping first.
Is there a row limit?
Yes. A single CSV import can have up to 5,000 rows. Split larger files into several imports.
Why can't I see the import panel?
Imports are owner-only and need MFA. Ask a workspace owner, or set up MFA in Account security.
