Quick verdict
A small service team needs three things to stop losing work: one place where client requests arrive, a clear owner for each request, and time that lands on the invoice without a spreadsheet in the middle. Flopinio covers that loop for teams up to the member limit of your plan. It does not replace a CRM, proposal tool, or payment processor.
Shared intake with owners
Team time feeding invoices
Authenticated client portal per project
Signs you have outgrown your current setup
Requests are forwarded between people instead of assigned. Two people answer the same client. Nobody can say which work this month has not been invoiced. A client asks for status and someone has to write it up by hand. These are coordination problems, not effort problems, and adding another board rarely fixes them.
What a 2–5 person team should require
Look for request intake that keeps the source message, owners and tasks per request, roles so not everyone sees billing, time tracking tied to tasks, invoice drafts built from tracked time, and a safe way to show clients progress.
Request intake with source context
Owners and task boards
Roles and access profiles
Team time on tasks
Invoices from tracked time
A client view that is not your whole workspace
How Flopinio handles the team loop
Review Gmail (paused; read-only when available), Slack, Zoho Mail, ProtonMail Bridge, and forwarded Telegram items in External Inbox before converting them. Jira sync automatically creates or updates tasks from issues assigned to you. Telegram /request and /note commands create requests and notes directly.
Requests get a client, project, urgency, and owner. AI triage can suggest them; a person applies the suggestion.
Work happens on task boards with comments, work logs, and review. Recurring task workflows cover repeating service cycles.
Each member tracks time from tasks. The time calendar shows gaps and lets you add manual entries.
Invoice drafts import completed time with a preview. Invoices are sent by email with a PDF, and partial payments and reminders are tracked.
Roles and access
Members are owners, admins, or members, and access profiles (full operator, delivery, billing, observer, client portal) narrow what each person can do. Teams and access rules can scope projects. Invites need a paid plan; the Free plan has one member.
Client visibility
Flopinio's client portal is authenticated and project-only. You invite a client user to one project; they see the project status, client-visible roadmap steps, client-visible tasks, and project updates, can comment on those tasks, and can sign or reject decisions assigned to them. Files, invoices, and time entries are not shown in the portal, and there are no anonymous links. Portal clients do not count toward member limits, but sending portal invites needs a plan that includes invites.
Which plan fits a small team
Member limits decide the plan for most teams. Pro and Team include unlimited clients and projects. Team includes five members, with extra seats at USD 8/month or USD 80/year each. Pro is USD 149.90/year and Team USD 499.90/year when billed annually. All plans include organization-managed OpenAI or Anthropic BYOK; provider charges apply.
| Plan | Monthly price | Members | Clients | Invites |
|---|---|---|---|---|
| Free | USD 0 | 1 | 1 | No invites |
| Pro | USD 14.99 | 1 | Unlimited | Client portal |
| Team | USD 49.99 | 5 included | Unlimited | Members and client portal |

When Flopinio is not the right fit
Flopinio does not do everything an all-in-one freelance suite does. Today it does not offer:
Proposals, contracts, or e-signature.
A sales pipeline or CRM for leads.
Built-in card payments. You can add a payment link to an invoice and record payments manually.
Booking pages, scheduling links, or public intake forms.
Native mobile apps or languages other than English.
Retainer-hour budgets or budget alerts.
If your team mostly needs resource planning and capacity forecasting, a dedicated professional-services tool is a better fit.

Google connection availability and data use
Gmail and Google Calendar connections are currently paused for public use while verification and security readiness work is completed. Google Sign-In is separate. When available, Gmail intake is read-only; AI/search processing requires a separate owner opt-in. Captured Google text stays in a separate private source section unless explicitly shared, and is erased with its derived copies on disconnect. See the Google integration guide and Privacy Policy for availability, retention, and deletion details.
Common Questions
How many people can use Flopinio?
Free and Pro include one member. Team includes five, with additional seats at USD 8/member/month or USD 80/member/year. Client portal guests do not count toward member limits.
Can I stop some team members from seeing invoices?
Yes. Access profiles such as delivery or observer limit what a member can do, and billing access can be kept to the people who need it.
Can two people track time on the same task?
Yes. Time entries belong to the person who tracked them and link to the task, project, and client.
Can we import our existing projects?
Yes. CSV import with mapping and preview supports Trello, Notion, and generic CSV files for projects and tasks.
Does Flopinio send client notifications?
Invoices and reminders are sent by email. Portal sign-off requests do not send email yet.
Is there a mobile app?
No. Flopinio is a responsive web app, and the Telegram bot covers quick capture and timers from a phone.
