Quick verdict
Small agencies lose margin in handoffs: the account lead hears the request, someone else delivers it, and billing happens a month later. Flopinio keeps the request, the delivery tasks, the tracked time, and the invoice in one trail, and gives each client an authenticated project view. Agencies that sell through proposals, run payments, or plan capacity across many people will need other tools too.

Where small agencies leak time and margin
Change requests that never become tasks, work done but never invoiced, clients asking for status updates that someone has to compile, and one person holding all the context. Each one is a handoff problem.
An agency workflow in Flopinio
Client messages from connected sources arrive in External Inbox for review.
The account owner turns them into requests with a client, project, and owner. Automations can run AI triage on every new request; applying the result stays manual.
Delivery happens on task boards with comments, work logs, review, and retrospectives.
Everyone tracks time from tasks, and project health checks can flag drift.
Invoices are drafted from tracked time, sent with a PDF, and followed up with reminders. Recurring schedules cover monthly service fees.
Giving clients a project view
Flopinio's client portal is authenticated and project-only. You invite a client user to one project; they see the project status, client-visible roadmap steps, client-visible tasks, and project updates, can comment on those tasks, and can sign or reject decisions assigned to them. Files, invoices, and time entries are not shown in the portal, and there are no anonymous links. Portal clients do not count toward member limits, but sending portal invites needs a plan that includes invites.
Start from an agency preset
Flopinio includes workspace presets, including one for agencies, that set up starter structure and recommended automation rules. Recommendations are optional and create ordinary automation rules you can review.
When Flopinio is not the right fit
Flopinio does not do everything an all-in-one freelance suite does. Today it does not offer:
Proposals, contracts, or e-signature.
A sales pipeline or CRM for leads.
Built-in card payments. You can add a payment link to an invoice and record payments manually.
Booking pages, scheduling links, or public intake forms.
Native mobile apps or languages other than English.
Retainer-hour budgets or budget alerts.
Capacity planning and resource scheduling across a large team.
White-label client portals.
