## Quick verdict

A consultant's work product is often a recommendation and an agreement, not a deliverable file. Flopinio fits consultants who want notes, decisions, and client sign-off connected to the hours they bill. If your process depends on proposals, signed contracts, and scheduling links, an all-in-one suite will cover more of it.

- Smart Notes with AI summaries
- Decisions with client sign-off
- No proposals, contracts, or booking pages

## The trail a consulting engagement needs

Clients forget what was agreed. The record that protects both sides is simple: what was discussed, what was decided, who agreed, and how much time it took. That record usually ends up split across a notes app, email, and a timesheet.

## A consultant workflow in Flopinio

1. Keep engagement notes per client and project. Smart Notes can summarize, rewrite, or extract tasks with AI.
2. Turn agreed recommendations into decisions and name the client user as the signer.
3. The client signs or rejects the decision from the authenticated portal, with an optional comment.
4. Track advisory time against the engagement's tasks.
5. Draft the invoice from the completed time and send it by email with a PDF.

## What your client sees

Flopinio's client portal is authenticated and project-only. You invite a client user to one project; they see the project status, client-visible roadmap steps, client-visible tasks, and project updates, can comment on those tasks, and can sign or reject decisions assigned to them. Files, invoices, and time entries are not shown in the portal, and there are no anonymous links. Portal clients do not count toward member limits, but sending portal invites needs a plan that includes invites.

## Meetings and calendar

When Google Calendar becomes available and is connected, Flopinio can list events and create or update events through approved actions, and meetings can be linked to client work. Meeting notes still need to be captured as notes; Flopinio does not record or transcribe calls.

## When Flopinio is not the right fit

Flopinio does not do everything an all-in-one freelance suite does. Today it does not offer:

- Proposals, contracts, or e-signature.
- A sales pipeline or CRM for leads.
- Built-in card payments. You can add a payment link to an invoice and record payments manually.
- Booking pages, scheduling links, or public intake forms.
- Native mobile apps or languages other than English.
- Retainer-hour budgets or budget alerts.
- Flopinio does not record or transcribe meetings.

## Google connection availability and data use

Gmail and Google Calendar connections are currently paused for public use while verification and security readiness work is completed. Google Sign-In is separate. When available, Gmail intake is read-only; AI/search processing requires a separate owner opt-in. Captured Google text stays in a separate private source section unless explicitly shared, and is erased with its derived copies on disconnect. See the [Google integration guide](https://flopinio.com/help/google-integrations) and [Privacy Policy](https://flopinio.com/privacy) for availability, retention, and deletion details.

## FAQ

### Can my client approve a recommendation?

Yes, through decision sign-off in the authenticated client portal, if they are the named signer and have access to the project.

### Can I share documents with the client in the portal?

No. The portal shows project status, client-visible roadmap steps, tasks, and updates. Files are not shared through the portal.

### Does Flopinio send proposals or contracts?

No. Use a dedicated proposal or contract tool alongside Flopinio if you need them.

### Can I invoice a fixed monthly fee?

Yes. Recurring invoice schedules can generate invoices weekly, monthly, quarterly, or yearly, and auto-send is optional per schedule.

### Does AI write my client updates?

Weekly reviews can stage a draft update note, which you review and edit. Notes tagged client-visible or client-update appear as updates in the portal.
